Overview
This Refund Policy applies to advisory fees, site assessment visits, commissioning labour, maintenance retainers, and cooling retrofit projects engaged through Utilitysycamore Mining Review Co., Ltd. Hardware purchase costs are billed separately by third-party vendors and are subject to those vendors’ return policies — not covered by this policy.
Advisory & Procurement Fees
Before work begins: If you cancel a procurement advisory engagement before we begin hardware shortlisting or vendor contact, you receive a full refund of any deposit paid minus a KRW 150,000 administrative fee.
After work begins: Once hardware shortlisting, vendor negotiation, or documentation has commenced, deposits are non-refundable. Completed advisory phases (discovery, shortlist delivery, purchase-order review) are billed for work performed and are not eligible for refund.
Site Power Assessment
Cancellation more than 5 business days before scheduled visit: Full refund of the assessment fee.
Cancellation within 5 business days: 50% refund to cover scheduling and preparation costs.
Cancellation on the day of visit or no-show: No refund. We offer one free rescheduling if you notify us at least 24 hours in advance.
After report delivery: Assessment fees are non-refundable once the written report has been delivered.
Commissioning & On-Site Labour
Before crew dispatch: Full refund of commissioning deposits if cancelled more than 7 business days before the scheduled on-site date.
Within 7 days of dispatch: 50% of commissioning deposits retained to cover crew scheduling and logistics.
After on-site work begins: Commissioning fees are billed per day of labour performed. Unused pre-paid days may be refunded minus a 15% re-stocking and scheduling fee.
Weather and force majeure: If our crew cannot access your site due to typhoon warnings, flooding, or government-mandated closures, we reschedule at no additional cost. If you prefer cancellation, a full refund of undelivered days applies.
Maintenance Retainer
Annual retainer — cancellation within 30 days of start: Pro-rata refund for unused quarters minus a KRW 200,000 early-termination fee.
After 30 days: No refund for remaining quarters. Scheduled visits already completed are non-refundable.
Missed quarterly visits: If we fail to deliver a scheduled quarterly visit within 30 days of the agreed window (excluding force majeure), you may request a credit equal to one quarter’s retainer value applied to the following year or refunded if you do not renew.
Cooling Retrofit Projects
Before materials ordered: Full refund of project deposit minus design and assessment costs already incurred (itemised in cancellation notice).
After materials ordered: Deposits are non-refundable. Materials costs are passed through at vendor invoice price. If you cancel after materials are sourced but before installation, you may receive materials at your site (freight at your cost) or we may attempt vendor return — subject to vendor restocking fees deducted from any refund.
After installation begins: No refund for completed installation labour. Partial refunds for undelivered phases may be negotiated in writing.
Hardware Purchases
We coordinate hardware orders on your behalf but are not the seller of record. Returns, defects, and warranty claims are handled directly with the hardware vendor according to their policies. We assist with documentation but cannot guarantee vendor refund outcomes.
Deposits
Standard deposit requirements:
- Procurement advisory: 40% upon agreement signing
- Site assessment: 100% before scheduling
- Commissioning: 50% before crew dispatch
- Cooling retrofit: 30% upon quote acceptance, 40% upon materials order
- Maintenance retainer: 100% annually in advance
All deposits are held in our business account and applied to final invoicing or refunded per the terms above.
Refund Processing
Approved refunds are processed within 14 business days via the original payment method (bank transfer). You are responsible for providing accurate bank details. Refund amounts are in KRW.
No-Shows
If our crew arrives at your site and access is denied, or required electrical infrastructure is not as described, a no-show or re-assessment fee of KRW 250,000 applies. This fee is deducted from any applicable refund or invoiced separately.
Work Already Started
Once deliverables (reports, shortlists, installed equipment, thermal documentation) have been provided, the corresponding fees are earned and non-refundable regardless of your satisfaction with mining market conditions or hash-rate economics.
Purchased Materials
Materials ordered specifically for your project (ductwork, fans, mounting hardware, spare parts) are non-refundable once ordered unless the vendor accepts a return. Restocking fees and freight costs are deducted from any credit.
Disputes
If you believe a refund is owed under this policy, contact info@utilitysycamore.click with your service agreement reference, payment date, and reason for the request. We respond within 5 business days with a written determination.
